The Balance Sheet Summary screen shows financial data for the current and historical years. You can specify how to view the financial information for this customer record in three different views in either a primary or secondary column format (dual columns for both assets and liabilities). The numbers in the following list correspond with the numbers on menu to the right.
On the main Balance Sheet screen, click Balance Sheet Summary.
You can select any year to view in the summary from the submenu to the right.
Click Summary in the submenu to the right of the list of years.
Note Click Add/Modify/Delete if no years exist for this customer record. This feature is described below. The years of data you develop here populate the list in step 2.
Set Values for Assets and Liabilities Columns
To set the values on the Balance Sheet Summary screen for the Assets and Liabilities columns:
Click the link to the right of the Primary field to set the values in the right column; if you are displaying a secondary column, click the link to the right of the Secondary field to set the values in the left column.
In the Value / Adj. Value / Cost dialog box, click the applicable radio button for the desired dual column calculations you want for this balance sheet.
Click Value to automatically adjust the value of your balance sheet items on a dollar basis.
Click Adjusted Value to make adjustments to the market value of your balance sheet items in dollars.
Click Cost to automatically adjust market value of your balance sheet items on a cost basis.
Click None if you do not want the secondary column used.
Save your selection.
Supporting Schedules
All default Balance Sheet chart of account items populate the asset and liability areas of the Balance Sheet summary in the form of hypertext links with numeric input fields to the right of each item.
Current Assets - All assets to be sold, consumed, or converted to cash within one year.
Current Liabilities - All debts to be satisfied within the next 12 months.
Intermediate/Long Term Assets -Those not expected to be consumed or converted to cash within the next 12 months.
Intermediate Liabilities - Debts with maturity dates between 1 and 10 years.
Long Term Liabilities - Debts with maturity dates over 10 years.
There are also links for choosing the state and county in the real estate schedule. There are two approaches to entering financial data here and they both have to do with time. To spend the least amount of time, type the financial data into the applicable numeric data entry fields and save your work. Alternatively, you can click on each chart of account item to access the supporting schedule for that item and enter as much information as is necessary to decision the loan request. Create Columns
If you prefer a two-column balance sheet, click the << Copy and Copy >> buttons to copy columns to the left or right of the existing column. This is a Summary Data Only feature and does not apply to data from the schedules. Click these arrows once to display a Reset button in case you do not want to copy the data. Click Save & Stay to remove the Reset button until you decide to copy data again. If you click the copy arrows more than once, a navigation dialog box appears with a message telling you to save your data before continuing.
Show or Hide a Secondary Column
To show a second column, click the Display Secondary Column check box. Clear the check box to hide the second column.
Ratios and Customize Ratios Links
Click the Ratios | Ratios+ links to generate a pop-up window with all the balance sheet ratios for that year's data.
Comments Symbol Edit Screen
There is a Comments icon to the left of each balance sheet item. Use this symbol to open a small comments pop-up window where you can chronicle any comments you may have about each item as needed.
eNotice | Attachments Symbols
Send email messages to colleagues or customers () and attach files (
) with the Document Management System.
Save & Stay or Cancel Buttons
Balance Sheet Add / Modify / Delete Screen
Click the Add/Modify/Delete link will automatically take you directly to the Add/Modify/Delete screen instead of opening the screen from the menu bar.
View Trends Link
Click the View Trends link to view the Balance Sheet Trends screen. The red asterisk next to the "View" link denotes the year you are currently working on.
Copy Default Titles Link
Click the Copy Default Titles link to copy additional data categories from the Defaults area of Lending Cloud. Copy the default titles if your system administrator instructs you to do so.
Duplicate Link
The Duplicate link allows you to duplicate the data for that year to help save you time. The duplicate year appears directly under the parent year.
Lock Link
The Lock link allows you to prevent other users from making modifications to that particular year's data. The name of the user and the date the lock was applied will display in red at the top center of the balance sheet when a locked balance sheet is accessed. This feature simply disables the "Save" feature on the balance sheet. After you click on the Lock link, it automatically shows Unlock and you simply click on that link to unlock the balance sheet again when ready.
Track Link
The Track Link tracks the Lock/Unlock feature to see who has locked the balance sheet.
Math in a Cell
You can enter math formulas in user-defined cells on the summary and trends screens to perform math calculations. You can type addition, subtraction, multiplication, division calculations and parenthesis within the math calculations.
Non-Financial Chart of Accounts
Non-financial chart of accounts for Agriculture, Commercial, and Personal loan types serve as data entry fields for the Balance Sheet and Income/Expense screens. The data from these fields is used in the calculation of customized ratios. The data is needed to calculate per unit revenues or costs.
Whole Numbers, Nearest Thousands and Nearest Millions
You can enter, show, and report numbers in Lending Cloud as whole numbers, nearest thousands and nearest millions. Click Whole Numbers, Thousands and Millions for more information.
In and Out of Balance Indicator
If total assets do not equal total liabilities and equity, the variance (s) and the following message appears at the bottom of the report and in the Agriculture and Commercial sections: OUT OF BALANCE: Assets do not equal Liabilities & Equity Accounts
If total assets do equal total liabilities and equity, the following message appears at the bottom of the report and in the Agriculture and Commercial sections: IN BALANCE.
