Now that you have established your locations, work groups and functionality,
it is time to start placing your users in the system. Clicking on this
menu item will generate The User Management screen below from which you
can add new users to the system and view all users in the system. Once
you have searched for users, three links display in the top-right corner.
You can print the list, PDF this list or export the list to Excel. Some
clients use the Excel option to do a monthly comparison to identify any
users that may have left the organization.
To view all users in the system, click the GO button at the top center of the screen. This will display all users.
Note:
Some organizations may have a lot of users in the system. Locating
those users is easy with the search feature at the top of the screen.
Additionally, each column title here has an
icon that will display your list alphabetically and/or numerically
according to the column you click on.
You can search for specific users using the search fields at the top-center of the screen.
Click Add New in the top-left corner of the User Management screen to begin entering user information. Below is a modified sample of this section so you can more easily view descriptions of the features here. It is where you enter all information specific to the user(s) you are entering into your structure tree.
Many items here are general information-oriented and do not require explanation. Below are areas that you should know when setting up a system user.
Lending Authority: The amount of money this user is allowed to lend. You must enter a numeric amount only (Example: 5000000. Do not use commas or other symbols.)
User ID: You can enter anything you like as long as you do not enter a user id that has already been created. We recommend users names/initials or any combination of name characteristics (Example: DaveM or DavidMM).
Password/Confirm Password: See the "Functionality Group" eHelp section to determine the format you need to use for this field. Once you determine the type of password required you can enter it here and then enter it again to ensure it is correct.
Functionality Group: This controls what parts of the program this user will be allowed to use. Clicking on the "lookup" link here will display a list of different groups you will have set up in this section of defaults. Click on the applicable group and it will automatically appear in this field.
Customer Access Work Group: This determines what customers this user will be allowed to see. The lookup process is the same as above.
Location/Department: Same as above but for locations and departments.
Security Level: There are four security levels in the system.
View Own Records Only: Choose "Yes" if you want this user to only see their own customer records and "No" if they can see all customer records in that location or all the records in that specific customer access work group.
Show Location, Staff: This controls whether or not the location and staff are displayed when you add a new customer record in the system. Choose "Yes" if you want it to display for your users.
View Customer Access Workgroup Staff Only: If "Yes" is chosen, users are able to view only the staff and location information applicable to that user and below. If "No" is chosen, the user can view all staff and all locations. NOTE: This feature will only display if "Yes" is chosen in the "Show Location, Staff" feature described above.
Limit # of Records To: Enter the number of customer records this user can use in the system. This will help you better manage the customer records you purchase from Lending Cloud. When this user runs out of records, simply contact Lending Cloud to order more.
Security Question and Response: Use this field for instances when users call you and say they have forgotten their password. The standard "Mother's Maiden Name" or "Pet's Name" questions are typically used, as long as you can confidently identify the caller. When you are satisfied with the response, click on the "Change Password" link and assign the user a new password of your or their choosing.
Login Start Time | Login End Time | Login Start Date | Login End Date | Last Logged In Date: You can control server access to users for any amount of time and/or date. The time and date settings function independent of each other. Some users may require 24-hour access seven days a week, while others (like summer interns) need access to the data for only a few hours a day for a specified period of time.
Failed Login Attempts and Last Failed Attempt: These features will display how many times this user failed to log into the system. You can set how many times they can attempt to log in under the Functionality Groups section of Defaults. It is defaulted to five attempts, however, you can put it to however many you wish. If a user contacts you to say they cannot log into the system, this is the first place you should look to troubleshoot the problem for them. This will tell you if they have reached the maximum failed attempts. If so, there will be a "Reset" button you can click on to put the number back to zero. Confirm for the user the correct user id and password and have them log in again.
Force Password Change On Next Login: For tighter security, you can choose to make people accessing the system enter a new password if they enter an incorrect password one time.
ProLender Fields: You will only use these features if your organization uses the HomeBank ProLender software.
Change Password: This link allows you to change a users password.
Track: This link tells you when the password was changed, and also the user name and IP address.
On the far right side for each user in the "User Management"
screen list there is a Track
link. Click on this link to view all the customers a particular user has
accessed in the system. You can sort by customer name or the date/time
the customer was accessed. It displays the following information...

Customer Address
Customer Tax ID
Date/Time Selected
Date/Time Returned
Locked/Checked Out
Time in Customer
